Post-Award | Close-Out

Project Close-Out

Project close-out occurs after the following:

  1. The project has reached its end-date and no extensions have been requested
  2. All grant-related expenditures have ceased, and all previous expenditures have been accounted for (final payroll will be posted to the grant account two weeks after the pay-period-end date)
  3. Expenses incurred after the end-date of the project are not applied to the grant
  4. All sponsoring agency requirements have been met, including final program reports and final deliverables
  5. OSP has reconciled the account, submitted a final invoice to the sponsoring agency, and received the final funds
  6. OSP has submitted any refunds, if the total amount received is higher than the total amount spent.

Once all these conditions have been met, the grant account will be closed in People Soft, and no new expenses will be able to charged to the grant.

Record Retention

All grant-related records will be held for at least a period of three years from the date of the final submitted invoice, unless otherwise specified in the award document or sponsoring agency requirement. 

If the project is being audited, or is involved in any active litigation, the records will be retained until three years after the audit or litigation has concluded.

Project Audit

OSP should be the first point of contact for any audit or site-visit related to a grant. If you are alerted to an audit on your grant, notify Teri Herberger, Director of Sponsored Programs (tlhergerber@salisbury.edu | 410-543-6066).
