Faculty & Staff - Record Keeping
The Perdue School
houses each student's advising file in
Student Services.
Advisors are encouraged to
check out their advisee's file as needed and return it at the
conclusion of the advising appointment.
Well-maintained advising files
are essential to the advising process. There are many times when
others beyond the student or advisor, such as the Advising
Services Coordinator, Department Chair or Academic Affairs, will
need to refer to the transactions in an advising file.
Advisors are encouraged to
maintain copies of the following items within advising folders:
-
Program Planning form
-
Important email
correspondence
-
Notes summarizing any
pertinent items from advising meetings
-
Copies of any academic
checklists used in advising session
-
Notations if an advisee
missed any scheduled appointment
Advisors might also include any
printed copies of the degree audit, copies of forms that the
student submitted, graduation review sheets and much more. The
more information you have documenting the significant academic
discussions between you and your advisee, the better this will
be for both you and your students.
To err is
human and to have a record of any possible advising errors
documented within the advising folder is a great benefit to
yourself & your advisees!
